How Nicole Burley Manages Her Life Coaching and Health Coaching Business Using MoonClerk and MailChimp

Nicole Burley chats with us about her Life Coach and Health Coach business and why MoonClerk works so well for her.

Can you tell us a little about what you do?

I am a certified Life Coach and Health Coach. I help my clients build healthy eating habits, lose weight, and make confident life and career decisions. I also run an online Healthy Habits Coaching Club which is designed to provide support, accountability, and structure not just for losing weight – but keeping it off for the long-term.

What are your day-to-day responsibilities?

I have a wonderful Web Director, Daniel Marmion of www.MarmionDesigns.com, who handles everything technical related to my website but, otherwise, I do absolutely everything! I am the CEO, CFO, Marketing Director, Social Media Manager, Boss, Employee, and unpaid intern.

How did you get started?

I didn’t set out to become a coach but, looking back at my career history, I see that everything I have done in my life has led me to professional coaching. I have a background in theatre and speech, I’ve taught fitness and pilates, I have a masters degree in Education and worked with preschoolers for a few years, and I’ve had a lifelong interest in health and nutrition. I didn’t know it at the time, but all these experiences working with different kinds of people, understanding how they think, figuring out how to communicate with them so that they make a connection in their own heads – it all serves me incredibly well as a coach. And I absolutely love it! I didn’t even know that there was such a thing as a Professional Coach but, when I discovered it and researched the training – it seemed like the perfect fit for me. I started coach training school in 2009, and was certified by the International Coach Federation in 2010. I also hold two certifications in Nutrition. I love what I do and I’ve never looked back! This work is incredibly rewarding.

What have been some key factors in growing your business?

Honestly, the biggest factor has been persistence. Just sticking with it. When you’re a solopreneur, there are so many ups and downs. It’s VERY easy to abandon ship. I’ve seen a lot of coaches come out strong and then fade away and disappear. I think a huge part of growing a business is just continuing to show up every day – even if it seems like no one is listening! There’s no substitute for the time it takes to build a reliable, trustworthy presence – especially online. Having been around for a few years with a steady, consistent message counts for a LOT.

Another important factor has been having a good-looking, functional website that makes it easy for people to learn about me and what I do – and hire me when they’re ready. Having a solid website does a lot of my “selling”for me. My site has been through many incarnations over the years, but the current version has been incredibly successful in helping make sure that my ideal clients know me and trust me enough to hire me.

What do you use MoonClerk for?

I use Moonclerk in two ways. The first is for when a new client purchases a package of sessions with me. They can choose 4, 8, or 12 sessions up front and Moonclerk handles that one-time purchase. I have Moonclerk connected to my Mailchimp account so, when a new client signs up and pays, they are automatically emailed a Welcome email, and an intake questionnaire. It’s seamless.

The second way I use Moonclerk is to handle the monthly recurring billing for my Healthy Habits Coaching Club. All new club members receive a 30-day free trial of the club, and then it’s just $9.99/month after that. There’s also an option to upgrade to a Premium Membership for access to more features/benefits of the Club. Moonclerk handles the free trial, the billing, the upgrade and, again, it’s all connected to Mailchimp so the Welcome emails are triggered to go out whenever someone joins the Club. It’s awesome. And it works properly every time.

What problems did you have with your previous payment systems?

How much time do you have? Each payment system seemed to have a “fatal flaw” that ultimately made it incredibly less-than-ideal. The biggest problems tended to be that it just couldn’t do what we needed it to do for some reason or another. For example, I’m shocked by how difficult it is for some payment systems to let you use discount codes without a whole hullabaloo. Some systems were very ‘iffy’or limited about playing well with Mailchimp or other apps. Some were incredibly complex to set up, or expensive – or both! And some systems wanted to charge a LOT more for recurring billing – a feature I really need for my Club membership.

How did these problems affect your business?

Constant anxiety and frustration. People would sign up and not receive their Welcome materials because the connection between the payment system and Mailchimp would just…evaporate out of nowhere. Or if there was an issue with someone’s payment, it was incredibly complicated to correct it and let them change credit cards or what have you. It felt like nothing was easy. Correcting problems was like going down a rabbit hole. We would end up having to do a lot of manual data entry – which defeats the whole purpose of an automated system!

What made you decide to use MoonClerk?

My wonderful web director is always keeping an eye out for new software and ways to make our systems run more smoothly and make our lives easier. He discovered Moonclerk and I’d never heard him so excited about switching us over to a new system! He told me that he had found something that would solve all our problems – and it was cheaper than what we’d been doing. I was sold!

What was your experience when switching and getting started with MoonClerk?

According to Daniel, my web director, it was refreshingly simple and seamless. He was more intimately involved with the switch and the set-up, but from my perspective, there were no scary emails from him telling me that he’d hit an obstacle, or found a hidden fee, or anything. Always a good sign! There have been times when I have had to go into my account and look things up on my own and it has been incredibly intuitive and user-friendly.

What do you like about MoonClerk?

I like that it works – and it worked from the beginning. I like the price. I like that it lets me do everything I need to do for my business (one-time billing with different pricing options, recurring billing, free trials, perfect integration with Mailchimp, clean and gorgeous payment forms). And the customer service is excellent – not that I have had to use it myself, but Daniel had a few questions in the beginning and he tells me that the responses were thorough – and immediate.

How has MoonClerk improved or helped your business?

I don’t worry about this piece of my business anymore. I no longer have a panic attack when someone joins my club or hires me one-on-one, because I’m no longer worried that they’re not going to receive what they’re supposed to receive, or that something will go screwy. It’s one more thing OFF my plate. I really couldn’t be happier to have found MoonClerk!

Any advice for others who are in similar industries?

Particularly if you work for yourself, you want software and systems that support you, simplify your processes, and make your life easier. They have to WORK – consistently and be easy to use! There is enough stress in running your own business without complicated, unintuitive, expensive, mysterious software clogging up your work flow. MoonClerk has been a really wonderful and refreshing change of pace for me and my business. I will never look back!
